Frequently asked questions
Do I need AI to use FileFlow?
No. AI classification is completely optional. FileFlow works fully offline with manual classification and custom rules. AI providers (Claude, OpenAI, Ollama) are available if you want smart suggestions — but they're never required.
What happens to my files?
FileFlow never moves files without your explicit approval. Every action goes through a Plan → Commit → Undo workflow. You preview everything before it happens. And if you change your mind, you can reverse any operation.
Is my data sent anywhere?
No. FileFlow is local-first. Your files never leave your Mac. If you use AI, only file metadata (name, extension, size) is sent to your provider — never the contents.
What is Johnny Decimal?
A file organization system that gives every folder a unique number (like 21.03). It makes files easy to find and remember. FileFlow supports Johnny Decimal out of the box — but your existing structure works too.
How do I restore my purchase?
Go to Settings → Subscription → Restore Purchase. Your Pro license is linked to your Apple ID and works on any Mac signed in with that account.
FileFlow seems stuck
Try quitting and relaunching. If the issue persists, check if files are stored in iCloud but not yet downloaded — FileFlow waits for iCloud files to become available before processing.

Keyboard shortcuts
Use ⌘1-4 to switch tabs. Press Space to preview files. ⌘Z to undo.
Undo anything
Every file operation can be reversed. Check the Undo button in Review.
Folder mode
Archive entire project folders instead of processing files one by one.
Browse & search
Use the Browse tab to explore your archive and find files by location.
